Using Whimsical for Church AV Design Documentation
At Churchfront, we frequently get questions about the software we use for creating AV system designs. Today, I want to share our approach to system documentation and the tools we use to make it happen.
Whimsical has become our go-to software for creating detailed AV system designs. While it was originally developed for software developers to create wireframes, we’ve found it incredibly versatile for AV system documentation.
Key Features of Whimsical
Whimsical allows us to create comprehensive system designs including:
- Rack elevations with detailed equipment layouts
- Power distribution diagrams
- Color-coded cable schematics
- Floor pocket designs
- Complete room layouts with equipment placement
One of the most powerful features is the ability to create detailed wire diagrams showing how equipment connects throughout the room. Whether you’re documenting HDMI to SDI converters, network switches, or cameras, everything can be clearly labeled and organized.
Why Documentation Matters
Having proper system documentation serves multiple crucial purposes:
As AV integrators, we need to clearly show clients exactly what they’re getting. While quotes and invoices list the equipment, a visual design helps clients understand the complete solution they’re purchasing.
Documentation also helps churches take inventory of their current systems. Many churches aren’t fully aware of all the equipment they have. Creating detailed drawings helps identify what you have, what needs upgrading, and what might be holding your system back.
When planning new installations or upgrades, accurate drawings ensure you don’t miss critical components. Even small items like converters and power control switches need to be accounted for in advance.
Whimsical vs. Other Solutions
While Whimsical serves our needs well for small to medium projects, we’re also expanding into more advanced tools as Churchfront grows. We’ve started using Vectorworks, an industry-standard CAD software with powerful entertainment and AV features.
However, Vectorworks comes with two significant challenges:
- A steep learning curve requiring days of training
- Higher costs at around $180 per year per user
For most church staff and volunteers looking to document their systems, Whimsical remains an excellent solution. It’s free to start, and the basic features cover most documentation needs.
